Roles in APEX

Roles and users in APEX have varied access to functions based on what type of role they have and subscriptions.

Clients

Clients get invited into APEX by a case manager or assigned admins, when the client has bought a unit or need access to a unit in a project. This gives access to the customer page of APEX, currently called "MinSide", where they are directed after signing in to APEX, and to administer their requests and cases regarding the unit.

Access:

  • When a client is signed in to APEX, they can send messages to their contractor/entrepreneur case manager in the form of a request.
    • A request can be claims about errors and omissions regarding their unit, or other questions they might have.
    • They can keep track of previously sent requests, and status on other cases regarding their unit. This is done through the page "Mine henvendelser".
  • If the developer has opted in for the digital addon store, then the client will be able to order their unit addons easy and digitally, through the availble store that the developer has set up for them.
    • This is also where the client can keep track of their order(s), see current status or cancel unprocessed orders entirely, if they need to.
  • The client will also have access to the addon overview, a kind of catalogue of sorts. The addon overview shows all addons that are, has been or will be active for the unit. As soon as an addon is connected to a unit, that addon is viewable through the addon overview. You can not order any addons from the addon overview, just see what has been, or will be available.
  • Lastly clients have access to "Mine Dokumenter", where they find a collection of dokuments and other files that is connected to their unit. These are usually files like contracts, protocols from inspections and handovers, blueprints and other files for maintenance.

Contractor

Contractors usually get invited to APEX when they are needed, or employed, for the project. Contractors are added to their own companies, and new companies can be added by other companies with a paid subscription, and a company can invite their own contractors to their company. If a contractor company wants more access and flexibility, then opting in for a paid subscription would be a good choice.

Access:

  • A contractor can create user profiles in their own company, used to invite the other contractors in the company.
  • A contractor has access to the case they have been added to.
    • Cases can be accepted, denied, and completed, they also have access to see, read and send/reply to messages in the same case, and see files such as pictures and other documents that are added to the case.
    • Contractors can not edit the base information of the case, this is for the case manager.
  • As a contractor you get access to checklists that are connected to the case you are added as a contractor to.
    • Checklists can be open and checked/edited at will.
    • You can also add a new case to the checklist item. This will work if there are any deviations to the checklist, in cases like protection rounds.
  • Contractors can add files to the cases they are added to. Like pictures or other documentation.
  • The filter options in the cases list is fully available to contractors, giving more flexibility and focus over what cases you want to see at any given time.
  • Exporting your cases list is possible as a contractor, if you are part of a company with an active APEX subscription. These can be exported in the formats PDF or spreadsheets like CSV and EXCEL. Read more about that here.

TIP

Real estate agents is also a sort of role in APEX, that is used when registering sales of units and houses.

Real estate agents are added to APEX in the same way as a contractor would be, but can be assigned the role as a "Standard real estate agent" in the project.

Case manager

This is a role meant for the daily operations, like processing requests, cases and assign cases to contractors. Case manager is a role assigned on a project, and can be done in a project belonging to your company, or an external company. In order to be searched for as a case manager, the company you are part of needs to have an active APEX subscription.

Access:

  • Can start a takeover/hand over.
  • Can start an inspection.
  • There is a standard case manager, and a case manager on project.
    • The difference here is that a standard case manager will be the one that is automatically added as case manager to cases created on and assigned to this project. Can be manually overridden if needed.
  • Case managers can process incoming requests sent from the clients, create new cases and edit existing cases.
  • They can create and register new companies in APEX, and invite contractors to these.
    • It is not possible for someone outside a company with a paid subscription, to add a contractor to that company. Companies with a paid subscription has to add their own employees/contractors.
  • Can add contractors from their own, and other, companies to cases.
  • A case manager can administer the entirety of a project they are added to, throught the "projects" option in the main menu of APEX. In addition to:
    • Add/edit units.
      • This can also be done by using the import-tool found in APEX.
    • Add/edit clients.
      • This can also be done by using the import-tool found in APEX.
    • Add contractors to the project disciplines.
  • Add checklists to cases.
  • Connect checklists to project.
  • Connect checklist to a unit.
  • See reporting for the project they are added as case managers to.
  • Can make export of the case list, in the form of PDF or CSV/EXCEL.

Addon manager

This is a role that is used if or when your company decides to use the digital addon option for your project. An addon manager can process client orders and administer the addons they want to offer. Addons is its own function and has to be activated through subscription.
